In Ajora, go to Settings → Integrations, click Connect Apollo and sign in to Apollo. From then on every call shows a Save to Apollo card. Ajora finds the contact by phone number and logs the summary as a call note. You can also let that happen automatically.
What does the Apollo integration do?
It puts the summary of your phone call into Apollo as a call note, on the contact you spoke to. The call is logged in Apollo with its time, as if you had filled it in yourself.
Apollo is a sales platform where you keep track of contacts, companies and your conversations with them. If you make a lot of calls, the work is not in the calling but in the updating afterwards. The integration takes over that part: Ajora writes the summary, and the integration puts it where your team looks for it. You connect with your own Apollo account. So the note appears in Apollo under your name, just as if you had typed it yourself.
Connecting Apollo to Ajora
You do this once. You need an Ajora account and an Apollo account.
Open Integrations in Ajora
In the dashboard at debrief.ajora.io, go to Settings → Integrations. Apollo is in the list there.
Click Connect Apollo
You are sent to Apollo’s own sign-in page. Sign in with your Apollo account and give Ajora permission.
Back in Ajora it shows Connected
After approving you return to Ajora automatically. Apollo now shows the status Connected. There is nothing else to set up.
Until you connect Apollo, you see nothing of it on your calls. The save card only appears once the integration is on.
Saving a call to Apollo
After a call, open the debrief in Ajora, on the web or in the app. The Save to Apollo card is now there.
Check the note preview
You see in advance exactly which text goes to Apollo: the summary of the call. Nothing is sent before you click save.
Check that the right contact is attached
Ajora looks the contact up in Apollo by phone number. If there is a clear match, the card shows it as matched, with the contact’s name. If it is wrong, pick a different contact.
Click Save to Apollo
The summary now sits on the contact as a call note. Open in Apollo takes you straight to it.
What if the contact is not in Apollo yet?
Then Ajora saves nothing and asks you. The integration never guesses which contact a note belongs to.
You then have three options, all from the same card:
- Search Apollo by name, email or company and point out the right contact. Ajora remembers your choice for this call.
- Create a new contact in Apollo, with name, email, phone number and company.
- Copy the note and paste it wherever you like yourself.
The same applies when several contacts fit one number. The card then tells you there are multiple matches, and you choose which one it should be.
Can it happen automatically?
Yes. Switch on automatic saving, and Ajora writes the note as soon as the debrief is ready. That only happens when the contact matches exactly. In every other case it keeps asking you.
You find that switch under Settings → Integrations, and as a checkbox on the card of a call. Once you have saved a few notes by hand, Ajora itself suggests doing it automatically from then on. After an automatic save you can still undo it for a brief moment, and the settings show a short list of what was saved recently.
What does and does not go to Apollo?
Only the summary of the call, as a call note, with the time and duration of the call. The transcript does not go along, and a recording does not exist: Ajora does not keep one.
You see what is sent beforehand
The note preview on the card is literally the text that will appear in Apollo.
No silent guesses
Without a clear match nothing is written. A note on the wrong contact is worse than no note.
Disconnect whenever you like
Under Settings → Integrations. Ajora then stops writing to Apollo. Whatever is already in Apollo stays there.

Frequently asked questions about the Apollo integration
Do I need a developer to connect Apollo?
No. You click Connect Apollo, sign in to Apollo and give permission. No code, key or webhook involved.
How does Ajora know which contact the call belongs to?
By the phone number of the person you spoke to. Ajora looks that up in your Apollo contacts. When in doubt, or with several matches, you choose.
Does it work in the app on my phone too?
Yes. The Save to Apollo card is in both the web dashboard and the Ajora app.
Does the transcript of the call go to Apollo as well?
No. Only the summary goes along, as a call note.
What happens to my notes in Apollo if I disconnect?
They simply stay. Disconnecting only stops new notes from being written.
I use a CRM other than Apollo. Is that possible too?
Yes, through the API and webhooks. That sends every debrief to your own system, with Zapier or Make in between if you like.
